AI tools for small business, organised by job

"AI for small business" covers four different kinds of product. Matching the kind to the job is most of the decision, and it rules out most of the mistakes.

Three colleagues of different ages sort a printed weekly task list into columns at a kitchen table used as a desk in a small office.
Sorting a week of tasks by type is a quick way to see which ones AI could take.

Most small businesses meet AI as a chat window. The tools that change how the business runs tend to look different: they sit in the inbox, on the phone line or between two apps, and they finish a job rather than suggest one.

Four kinds of AI product

What each kind is for

  • General assistants (Claude Team, ChatGPT Business) help any employee write, summarise, research and analyse, when that employee asks.
  • Office-suite AI (Microsoft 365 Copilot Business, Gemini in Google Workspace) does the same inside mail, documents, spreadsheets and meetings.
  • Automation platforms and personal assistants (Zapier, Lindy) move information between apps or manage one person's inbox and calendar on rules or instructions.
  • AI teammates in an operating system (OpenLazarus) take on a role, such as reception or bookkeeping, on the business's own records within set limits.

Adoption is still early. The US Census Bureau found that 19.8% of businesses used AI as of May 2026, with use rising at firms of 20 or more employees and staying lower at the smallest firms1. The businesses that start now are mostly choosing their first tool, which is why the choice of kind matters more than the choice of brand.

Writing, analysis and meetings

This is where most businesses start, and where any of the assistants is adequate. The practical differences are price, where the AI lives and what happens to the data. Claude Team publishes standard seats at $20 a month on annual billing and states that it does not train on Team content by default2. Copilot Business works inside Word, Excel, PowerPoint, Outlook and Teams3. Google includes Gemini in Gmail on every Workspace business plan and in Docs, Sheets and Meet from Business Standard8.

Calls, invoices and purchasing

These jobs are different in kind: they recur every day, involve customers and suppliers, and end in a record that has to be right. OpenLazarus's library describes a receptionist that answers every call, puts callers through and books appointments; a billing teammate that sends invoices, sends reminders and matches payments; a bookkeeper that matches bank lines and lines up supplier payments for approval; and a purchasing teammate that gets quotes, places orders and chases deliveries5. Each works within limits the business sets, such as purchase orders above a threshold that wait for a person, and every action is logged9.

If a tool cannot say where its actions are recorded and who approves the risky ones, it is not ready for work that involves money or customers.

Connecting the tools you already have

Many businesses do not want a new system; they want the existing ones to talk to each other. Zapier's agents work across more than 9,000 apps on command or on a schedule6, with a free plan and paid plans that scale by task volume7. Lindy connects to more than 1,500 apps and any hosted MCP server, and focuses on one person's inbox, calendar and calls4.

How to choose

  1. List a week of recurring work and mark each item as writing, communication, records or data transfer.
  2. Pick the one item that costs the most time or money when it is late or missed.
  3. Match it to a kind of tool using the table above.
  4. Shortlist two products of that kind and check their price model and data terms.
  5. Run one for a month with a single number to measure, as set out in our first 30 days guide.

Questions buyers ask

What is the most useful AI tool for a small business?

The one that removes a recurring job from someone's week. For writing and research that is a general assistant or the AI in your office suite. For calls, invoices and purchasing it is an AI teammate or an automation that acts on your records. Start from the job, then pick the tool.

Do small businesses need more than one AI tool?

Often two, an assistant that every employee uses for writing and analysis, and one tool that runs a specific process, such as calls, invoicing or moving data between apps. Buying several overlapping assistants rarely adds value.

Can AI do bookkeeping for a small business?

AI teammates can take on parts of it. OpenLazarus lists a bookkeeper teammate that matches bank lines to the ledger, categorises card receipts and lines up supplier payments for approval. Approval of payments and the year-end accounts should stay with a person or an accountant.
